As a Website Coordinator & Ecommerce Supervisor, you will be responsible for gathering, organizing, and inputting product information to create listings on our website and within our purchasing software, as well as being the primary point of contact for addressing customer inquiries resolving ordering issues, and managing the shipping. This role requires a keen eye for detail, strong organizational skills, strong problem-solving abilities, and the ability to manage multiple tasks efficiently.

Requirements:

  • Associate degree or equivalent experience in a relevant field.
  • Strong attention to detail and accuracy in data entry.
  • Proficiency in using purchasing software and content management systems.
  • Excellent organizational and time management skills.
  • Effective communication skills, both written and verbal, with the ability to collaborate with cross-functional teams.
  • Ability to work independently and prioritize tasks to meet deadlines in a fast-paced environment.
  • Familiarity with product information management (PIM) systems and e-commerce platforms preferred.
  • Previous experience in product listing creation or content management is advantageous.

 

Typical Duties and Responsibilities:

  • Customer Support: Provide prompt and courteous responses to customer inquiries via email, or phone regarding product information, order status, shipping updates, and any other related queries.
  • Order Management: Process customer orders accurately and efficiently, including order entry, payment processing, and order tracking. Resolve any issues or discrepancies related to orders, such as payment errors, item availability, or shipping delays.
  • Issue Resolution: Investigate and resolve customer concerns or complaints regarding product quality, damaged shipments, missing items, or any other issues, ensuring a satisfactory resolution for the customer.
  • Shipping Coordination: Oversee the shipping process, including packaging, labeling, and scheduling pickups with shipping carriers. Coordinate with warehouse staff to ensure orders are fulfilled accurately and shipped in a timely manner.
  • Quality Control: Conduct quality checks on outgoing shipments to ensure accuracy and proper packaging. Address any packaging or labeling errors to prevent shipping delays or customer dissatisfaction.
  • Documentation and Reporting: Maintain detailed records of customer interactions, order status updates, and shipping information. Generate reports on shipping metrics, customer feedback, and order fulfillment performance as needed.
  • Shipping Assistance: Assist with the physical shipping of packages when necessary, including packing items securely, printing shipping labels, and arranging for carrier pickups.
  • Product Information Gathering: Research and collect detailed information about products from various sources, including suppliers, manufacturers, and internal databases.
  • Content Creation: Create product listings for our website and purchasing software by entering relevant information such as product descriptions, specifications, pricing, images, and other necessary details.
  • Data Organization: Organize and categorize product data systematically within our purchasing software, ensuring consistency and accuracy across all listings.
  • Quality Assurance: Conduct quality checks on product listings to verify accuracy, completeness, and adherence to company standards. Address any discrepancies or missing information promptly.
  • Collaboration: Collaborate with cross-functional teams, including purchasing, marketing, and inventory management, to gather additional product information and ensure alignment on listing details.
  • Software Management: Utilize purchasing software to create and maintain product records, update inventory levels, and track supplier information effectively.
  • Continuous Improvement: Identify opportunities to streamline processes, enhance data accuracy, and improve the efficiency of product listing creation and management.
  • Documentation: Maintain detailed records of product information sources, updates, and any issues encountered during the listing creation process.
