In this position, you will work closely with firm leadership to serve as a foundational asset to daily bookkeeping, financial reporting, payroll processing, and client administrative needs. Position Parameters: This is a strictly operational support role. There are no sales responsibilities, business development expectations, or commission-based structures.

 

Key Responsibilities

  • Accounting & Bookkeeping: Perform routine bookkeeping functions utilizing QuickBooks Online, including reconciling bank accounts, credit cards, and loan statements accurately.
  • Financial Reporting: Assist leadership with the preparation of monthly financial reports, and accurately record and review journal entries and financial transactions.
  • Tax Season Support: Assist with the assembly and initial preparation of seasonal tax returns; organize and review incoming client tax documentation for completeness and track missing items.
  • Payroll & Sales Tax: Assist with accurate payroll processing, payroll-related reporting, and the tracking and filing of sales tax documents.
  • Administrative Operations: Manage the front-office calendar, schedule appointments, answer inbound phone calls professionally, and coordinate office workflows and document tracking.
  • Client Communication: Provide professional, timely, and confidential communication regarding document requests, scheduling updates, and general inquiries.

 

Position Requirements

We are seeking a reliable, self-directed professional with a strong foundation of practical accounting experience and a commitment to operational excellence.

  • Professional Experience: Proven background in a bookkeeping, accounting clerk, or heavy tax office support role; prior public accounting or tax preparation office experience is highly preferred.
  • Technical Proficiencies: Hands-on proficiency with QuickBooks Online and standard mastery of Microsoft Office applications (Word, Excel, and Outlook).
  • Analytical Skills: Exceptional attention to detail, strong organizational skills, and a proven ability to strictly follow procedures and meet rigid internal deadlines.
  • Communication Precision: Superior verbal and written communication skills; adept at handling client documentation and managing client inquiries with high confidentiality and professionalism.
  • Compliance & Dependability: Associate’s or Bachelor’s degree in Accounting, Finance, Business, or a related field preferred (equivalent practical experience will be considered). Must have reliable transportation and a proven track record of excellent, dependable attendance.

 

Work Environment

This role requires a consistent physical presence to maintain operational continuity and daily workflow standards. This is a 100% strictly in-office position, paired with standard professional office expectations. Because of the collaborative, hands-on nature of office operations and daily client interactions, remote work or work-from-home schedules are completely unavailable. Candidates desiring a remote arrangement need not apply. Consistent, dependable attendance is required, and additional hours or Friday flexibility may be required during peak tax season deadlines.
