Busy professional office in Panama City is seeking a personable and highly organized Front Desk Administrative Assistant to be the welcoming face of the business. This role is perfect for someone who enjoys working in a client-focused environment, thrives on multitasking, and takes pride in keeping things running smoothly.

 

What You’ll Do

  • Greet visitors and clients with a warm, professional welcome.
  • Manage a multi-line phone system—answer calls, direct inquiries, and take messages.
  • Maintain a tidy and organized reception area.
  • Handle incoming and outgoing mail and packages.
  • Perform data entry, schedule appointments, and coordinate meeting logistics.
  • Provide administrative support, including scanning, copying, and filing documents.
  • Assist with client communications and ensure accurate record-keeping.
  • Maintain confidentiality with sensitive information.

 

What We’re Looking For

  • High school diploma or equivalent (additional training or certification is a plus).
  • 1+ year of experience in a receptionist, front desk, or administrative support role.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to juggle multiple priorities.
  • Proficiency in Microsoft Office Suite and comfort with office equipment.
  • Professional appearance and customer-focused mindset.

 

Bonus Points If You Have

  • Experience in real estate, title services, or legal office settings.
  • Familiarity with industry terminology.
  • Bilingual abilities.
